Frustrating, right? I understand. As a small business owner, I know funds are often limited and there are many expenses to cover.
Usually, there are five common areas where people make mistakes: documentation, director details, shareholder details, categories, and payments.
In this blog, we’re going to dig deeper into these five areas. I’ll also provide tips and tools to make things easier for you.

Upload Clear Documents
PRAZ requires your documents to be uploaded in PDF format.
Some people take photos of company documents and then try to convert them into PDFs. As a result, the documents are not visible. Check that your documents are very clear.
Tip: Use a real scanner! Avoid taking photos
Scan using a printer with a scanner. If you’re using a phone, download a scanner app like Adobe Scanner from Google Playstore. It gives you much clearer documents than taking photos.
Upload Complete Documents
PRAZ expects you to upload complete company documents with all the pages.
Also your PDF documents should be less than 5MB in size. Check that you have uploaded all the required pages. Here is a quick rundown of all the documents you need:
- CR2
- CR6
- CR14
- Certificate of Incorporation
- Articles of Association
- Memorandum of Association
- Company Profile

Director Details- Make sure information is accurate
PRAZ expects you to provide accurate information.
Check whether you have uploaded director’s details as they appear on the CR14 and CR6.
Shareholding Details- Avoid inconsistent information
PRAZ expects you to provide the correct shareholding information.
Sometimes, to get your company up to speed, you might buy an off-the-shelf company but forget to update the shareholder and director details.
As a result, you might list your current shareholders, not necessarily the ones on the company papers.
Remember, information should be consistent. What is on the company papers should be exactly what appears in the EGP system.
Fill in the right information at the right section
There's also a common mistake that people make—one that even happened to us.
Our registered company name is “Banou Technologies,” but we trade under a different name: Tendertube.
When we registered, we mistakenly entered the company name as “Tendertube'' instead of “Banou Technologies t/a Tendertube.”
To avoid such errors, double-check your entries. Ensure that where the company name is required, you don’t accidentally put your address or a different name.
Make sure you put the right category
This is an area that people often overlook. But it’s crucial because it determines the tenders you can bid on. You have to be very careful and think a lot before deciding.
Why? Because if you choose the wrong category, you'll have to pay another $120 for a different category.
And you might only realize this when it's time for the actual bidding.
Another common mistake that we see is that most people fall prey to the shining object syndrome and end up focusing solely on short-term opportunities.
This approach can lead you to register in the wrong category, which might not align with your long-term goals.
Don't be an opportunist driven by quick financial gains.
Instead, take the time to choose wisely and make decisions that support sustainable growth and success.

Follow Payment Instructions
If you've paid with mobile money, it’s a no-brainer—the approval of your payment is quite straightforward.
But, if you've paid through a bank transfer, make sure to attach Proof of Payment. PRAZ has different bank accounts, so double-check that you deposited the funds into the correct account.
Clear all pending invoices
The procurement cycle for PRAZ runs from January to December, neatly divided into four quarters. The yearly payment for PRAZ is $120, valid until December 31st.
To make things easier for small businesses, PRAZ offers a quarterly payment option. This breaks down the yearly fee into manageable $30 payments per quarter. Think of it like a payment plan.
Unlike a subscription service where you can skip payments or only pay when you use the system, the PRAZ system works a bit differently.
You’ve got to pay for all quarters.
Let’s say you’ve paid for Q1 and Q2 and now you want to cover Q4. Guess what? You’ll need to settle the outstanding Q3 amount to reach the total $120.
So, by the end of the year, make sure all your invoices are cleared.
